Xyzios is the studio growth engine. It reads the data your booking platform already has, turns it into boards you can act on, and puts AI employees to work on the parts of the business that fall through the cracks. Everything member-facing waits for a person to say yes.
The three-step model
- Xyzios proposes. Overnight, the AI employees read the studio and write up what they found: members drifting away, leads worth a call, failed payments to recover, a weekly brief for the owner. What they want to do arrives as a draft, never as an action.
- You approve. Every draft that would reach a member sits in Approvals until an owner or manager reads it and approves, edits or rejects it. Nothing is sent, posted or changed on the strength of a machine’s opinion.
- The Ledger proves it. When an approved action brings money back, it lands on Recovered Revenue with the member, the date and the amount. That number is the proof the engine is paying for itself.
If you remember one thing, remember that order. The boards exist to make step one visible and step two easy.
Where the data comes from
Xyzios connects to the studio’s booking platform and keeps its own copy of members, memberships, classes, visits and orders up to date. The overnight sync is the main one; the boards also refresh during the day so the front desk is never reading yesterday. The Connections page shows what is connected and when it last updated.
Other sources can join it: accounting, Google Ads, Google Business Profile, Meta and Instagram. None of them is required for the core boards. An empty marketing board is more honest than one wired to an account nobody looks at.
The boards
The rail on the left is organised the way a studio is run.
- Command: Overview for the whole picture and My Desk for what needs you today. Ask Xyzi sits in the top bar on every screen.
- Departments: Marketing, Sales, Finance, Operations, Data, Team, Programming and Expansion. Each has a mandate at the top of the page saying what it owns.
- My Studio: Front Desk, Sales Desk, Members, At Risk and Approvals. These are the screens you open because a person is in front of you or a decision is waiting.
- Tools: KPIs, Targets, Compare, Scorecard, Recap, Recovered Revenue, Documents and Classification.
- Manage: Knowledge, Connections and Settings, for owners.
Your account menu in the top bar carries Board guide, which opens the guide for the board you are on without leaving it, and Help center, which holds every guide.
Xyzi
Xyzi is the assistant. Owners and managers can ask it anything about the studio’s numbers and it answers from the same data the boards use, naming where a figure came from. It can propose an action into Approvals, but it cannot send, post or change anything itself. Front desk and instructors can ask Xyzi how to use the app; it will not discuss the studio’s numbers with them, by design.
What Xyzios never does
- It never contacts a member without an approval.
- It never changes anything in your booking platform on its own. The one place a person writes to the platform from Xyzios is the Front Desk check-in, and that can be undone.
- It never shows one studio anything about another.
