What this board answers
Are we on pace this week and this month, and who should we call today? Sales Desk is the scoreboard for calls, closes and saves. On All locations it is the company scoreboard; each location tab is that site’s own, with its own goals and call sheets. If your access is fenced, the header reads Your locations and the numbers are your sites added up.
How to read it
The top row is conversion cards:
- 1Lead → intro — company-wide, the newest monthly cohort of leads that has had a full 60 days to convert, against its target.
- 2Intro → member — people who bought an intro 30–90 days ago and became members, for the scope you are on.
- First class → intro — blended funnels only. Under twenty matured buyers it shows the count instead of a rate.
- 3Funnel — intros open right now, with leads month to date and the close rate. An intro bought and never used past its own window is not open; it is on Intro bought, never used.
- 4New leads today, with this week and this month. A lead is a new profile that never booked or bought; partner and gift-card profiles are not leads.
Then two goal cards side by side. 5This week vs goals (day N of 7; weekly = monthly ÷ 4.33) gives each metric one line — Leads, Intros or Bookings, First class on a blended funnel, Memberships — as “x / y” with “exp. by Sat: N” and on pace, behind or ✓ goal hit. 6Month to date vs goals shows “N to go” or ✓ Done!. A metric with no goal says “no goal set”. Goals are set in Settings; the company total is the sum of every location’s.
7Locations build the total (All locations, more than one site) stacks each site into one bar per metric; the white tick is where the month is.
8Staff sales leaderboard (staff-assisted sales · MTD) ranks who closed what. It starts collapsed and is not shown to front desk or instructors.
9Outreach — today’s call sheets. On All locations for a multi-location studio this is a matrix of counts per tier and location; tap a count to open that location’s list. A No location column and a No location on file list catch people the platform never attached to a site. On a location tab each tier is its own panel with The play and a Show ▾ table of name, email, phone and the details that matter for that tier:
- Abandoned checkouts — card page in hand, where the feature exists
- New accounts — never came in, never bought — the last 3 days
- Intro expiring — 3 days or less, then 4–7 days
- Intro not attending — first 10 days
- First class — no follow-up — blended funnels, last 14 days
- Expired unconverted — last 14 days
- Cancellation saves — last 30 days — plan switchers removed; active means access is still running
- Membership bought, not started yet — Mariana Tek studios: a membership or pass that starts at the customer’s first class, bought in the last 12 months and not booked, newest first. Days waiting turn amber at 30; Charged is what they paid at purchase (“—” when it predates the orders Xyzios holds). They leave the list, and join the member count, the moment they book.
- Event leads — attended free, never bought — the first 50 per location are listed; the count is everyone
- Intro bought, never used — people who paid for an intro, never booked a class, and are now past the intro’s own window by more than a week (on Mariana Tek, which dates an intro only when it starts, 37 days after purchase, and for up to a year); the first 50 per location are listed, newest purchase first
Intro bought, never used is its own list on purpose. On a pass nobody has used, the booking platform keeps moving the start and end dates forward, so the same person would read as “expiring in 3 days” every week for as long as the pass sat there; the desk called people about a deadline that did not exist, and the intro counted as sold again every month. Xyzios keys these rows on the day they were paid for instead, keeps them off the expiring and not-attending lists and out of the intros-expiring and open-intro counts, and each row says when it was bought and until when the platform still shows it active, or, on Mariana Tek, that it is still waiting for a first class. The play is a warm “you still have this — want to come in?”, not a deadline.
A tier says “Nobody in this tier right now.” when empty and “not loaded” when the last refresh could not read it. A planned location’s tab says there is nothing to sell yet; a presale location’s tab is a door to the Presale board.
What to do here
The board is a scoreboard and a call list; the conversations happen off it.
- Read This week vs goals. Anything behind points at a call sheet below.
- Work the tiers top to bottom; the top ones go cold fastest. Tap Show ▾ to open a list.
- Tap a name to open their profile, then call or text them with The play as your opener.
- Switch location with the location bar; on All locations, tap a count in the matrix.
- If a metric says “no goal set”, set goals in Settings.
Failed-payment recovery is not here on purpose; it is proposed into Approvals for the owner.
Common questions
Why is Lead → intro an old month?
It is the newest cohort that has had the full 60 days to convert. A younger month would read low only because it is still maturing.
Intro → member is 24% but lead → member looks tiny.
Different denominators. A lead is every new profile, and many never book; intro buyers already came in. Both are right.
Event leads says 817 to contact but lists 50.
Lists with no time window are cut to 50 per location so the board stays fast; the count is real. Every other tier ships whole.
A tier says “not loaded”.
The last refresh could not read it. It is missing, not empty; the next refresh tries again.
Why do the location leaderboards not add up to the company one?
Each is ranked on its own, and a renewal is recognised against the whole company’s history, so the lists are not meant to sum.
