What this board answers
How the AI team’s work turns into verified dollars. It is the proof number behind Xyzios: an entry starts when an agent proposes, its clock starts when you approve, and it earns only when the outcome verifiably happens, such as a payment collecting or a member staying. Expired or rejected entries earn $0 and stay on the list, because showing what did not earn is what makes the confirmed total believable. The rail calls it Recovered.
How to read it
Four cards, each counting every entry the studio has ever had:
- 1Confirmed · all time: dollars credited only after the outcome happened, with the number of verified outcomes.
- 2Awaiting outcome: approved actions still inside their window, and when the next window closes.
- 3Expired: the window closed and the outcome did not happen, counted $0.
- 4Rejected: you said no; never earns credit, even if the outcome happens anyway.
The windows are stated in the header: 5payment recovery 21 days, retention save 60 days, lead and intro 14 days. A retention save can keep earning while the member stays, one month of dues at a time, to a maximum of three months.
The table lists the 200 most recent entries, newest first, and says so when there are more; the cards always count everything. Columns: 6Proposed, Member, Action (payment recovery, retention save, intro rescue, and which agent), Status, Timeline and Earned. Statuses read Proposed, Clock running, Confirmed, Expired · $0 or Rejected · never earns. Earned shows dollars for a confirmed entry, … while the clock runs, and $0 otherwise.
A figure your access does not include shows as a dash with not shown for your role, never as zero. Owners and Directors see the board; a Location Manager’s rail does not carry it, and instructors are never sent it.
What to do here
The board is read-only. The entries are written by the agents and checked nightly against what your booking platform records.
- Click a row to open the entry: the dates (Proposed, Approved / actioned, Outcome window closes, Confirmed), Months credited for a retention save, the Evidence (the order or invoice, the membership, the amount, what was checked), and the Outcome checks the nightly review made. Open member 360 → takes you to the member.
- To make the number grow, decide promptly in Approvals. A proposal nobody decides within 14 days expires and earns nothing.
- Quote the confirmed total, not the count of entries, when you want the proof. The rules under-claim on purpose, so the number holds up when someone checks a line.
Common questions
The confirmed total is small.
It only counts money that verifiably arrived or stayed: an invoice that collected, a member still active at the check date. Estimates and lifetime value are never credited. A credible small number is the point.
An action in Approvals is not on the ledger yet.
An entry appears when the agent proposes; the clock starts when you approve. Under Proposed the entry is waiting on a decision.
A member stayed but the entry expired.
The check happens at the end of the window. If the member was cancelled at that moment, or the save was never approved, the entry earns $0 even if they came back later.
The four cards and the table disagree.
The cards count every entry; the table shows the most recent 200 and says so above it.
Everything is a dash.
The figure is not part of your role’s access. The board says Not shown for your role rather than drawing $0.
